Terms & Conditions
These Terms & Conditions (“Terms”) apply to all photography services provided by Dot by Dot Studios, a UK-based equine, lifestyle, and events photographer (“the Photographer”). By booking or purchasing services, you (“the Client”) agree to these Terms.
1. Booking & Payment
A non-refundable booking fee of 50% is required to secure your date.
Dates are not confirmed until the booking fee has been received.
The remaining balance is due on the day of the event unless otherwise agreed in writing.
2. Cancellations & Rescheduling
If the Client cancels the booking, the booking fee will be retained.
Cancellations made less than 5 working days before the scheduled shoot may be subject to additional charges.
If the Photographer is unable to attend due to illness, accident, or other unforeseen circumstances, all payments made will be refunded, or an alternative date offered.
3. Weather & Outdoor Shoots
For equine and lifestyle sessions, the Photographer will work in most weather conditions unless unsafe (e.g., storms, high winds).
If weather conditions make the shoot impractical or unsafe, the session may be rescheduled at no extra cost.
4. Client Responsibilities
For equine sessions, the Client is responsible for ensuring horses and riders are presented safely and appropriately.
The Photographer is not responsible for injury, accident, or damage caused by animals or participants during the session.
The Client must ensure appropriate permissions are in place for photography at events or venues.
5. Image Rights & Usage
All images remain the copyright of the Photographer.
The Client is granted a personal licence to use purchased images for private use (e.g., printing, sharing on personal social media with credit).
Images must not be sold, entered into competitions, or used for commercial purposes without prior written consent and additional licensing fees.
The Photographer may use selected images for portfolio, website, and marketing purposes unless the Client requests otherwise in writing before the session.
6. Editing & Delivery
The Photographer will deliver edited images in the style consistent with their portfolio.
Raw/unedited files will not be supplied.
Standard delivery time is 5 working days from the shoot date, unless otherwise agreed.
7. Liability
The Photographer takes the utmost care with images and equipment. In the unlikely event of data loss, equipment failure, or other unforeseen issues, liability is limited to a full refund of payments received.
The Photographer is not liable for indirect losses, emotional distress, or consequential damages.
8. Complaints
Any complaints must be made in writing within 5 working days of image delivery.
Dispute resolution will be sought amicably in the first instance before legal steps are considered.
9. Governing Law
These Terms are governed by the laws of England & Wales.
Any disputes will be subject to the exclusive jurisdiction of the English courts.
